Job Phases

Find out more about the name update from Site Visit & how to get the most out of this feature.

We’re excited to share with you a small but mighty change in Fergus!

Site Visits has now been renamed to Job Phases throughout Fergus on desktop and the Fergus Go mobile app. Learn more about the reasoning behind this change and how you can use Job Phases to stay on top of your jobs from start to finish.

Why the name change from Site Visit to Job Phases?
From your feedback, we’ve learned that the name Site Visit can be confusing and cause challenges when training new staff. This update is to help make it easier to get new staff up to speed and help more Fergus Users understand and get the most out of Job Phases.

Understandably, the naming leads some Fergus users to equate Site Visits as tracking for visits to the different job sites, but they are so much more than that!

What are Job Phases in Fergus and how do they work?
Job Phases - previously called Site Visits - help you easily break down work into manageable phases, like subprojects.

Whether you’re a one-man-band or running a large team, you can use Job Phases to easily manage costs within a job and track progress.

Phases can be:

Job Phases Breakdown

Job Phases are indicated in Fergus with an alphabetical letter added after the job number.

Schedule & assign, track time & materials, add supplier documents and stock on hand for each Job Phase for easy tracking and accurate invoicing. Relevant notes, descriptions, forms, and checklists are all attached to a Job Phase so you and your team are prepped and can easily find what you need all in one place.

When it comes to invoicing, all labour and materials already line up to Job Phases so you can easily and quickly invoice for each Job Phase. Alternatively, you can invoice a whole job with sections clearly indicating each phase of the job.

Example of Job Phase breakdown:

The value of Job Phases
Job Phases are one of the most distinct and efficient tools in Fergus. Other job management software either don’t have this capability or have a time-consuming and tedious approach to breaking down jobs by phases (think: manually tagging each individual cost to correspond with a Job Phase).

By using Fergus and the built-in Job Phases tool, you’re already ahead and have an advantage to running your business efficiently and smoothly.

With Job Phases, you can:

  1. Keep on top of complex and big jobs. You can run quite a complex job and keep organised with all your costs, back costing and invoicing lining up to each Job Phase. Job Phases are associated with their own status in Fergus, e.g. scheduling, ready to invoice, so you can clearly see what action needs to happen next.
  2. Improve cashflow and keep finances healthy. There’s no need to wait until the whole job is complete. Ensure a steady flow of money is coming in by invoicing out for each Job Phase as they are completed.
  3. Bring a new level of professionalism to your business. In place of a long list of labour and materials in your invoice, with Job Phases, you can group labour and materials per Job Phase and present it to your customers. This makes it easy for your customer to clearly see what labour and materials went into each phase and understand what you’re charging for. Reduce any back and forths with customers and build trust.
  4. Communicate effectively with your team. Help your team understand exactly what stage of the job they’re going to be working on that day and provide relevant information captured under Job Phases in the Fergus mobile app.

Note that with this name update, nothing else in your Fergus workflow has changed with this update besides the name.

This update is just one of the ways we hope to make your day-to-day easier with Fergus.

One last note! Our Help Documentation has been updated to Job Phases but you may notice that Site Visits are still being referenced in some videos.

We are always open to your feedback as we continue to build out new features and improvements on Fergus desktop. Know that the Fergus Go mobile app is also a key and ongoing focus for the team.
